POSITION OVERVIEW
Reporting to the Controller, the Accounting Administrator is responsible for handling financial transactions, reconciling accounts, and supporting administrative processes related to vehicle sales and dealership operations. This role requires a highly organized, detail-oriented professional with strong time management skills who thrives in a fast-paced, high-volume environment.
RESPONSIBILITIES
– Process and post all new and pre-owned vehicle transactions.
– Work closely with sales managers to ensure deals are received and posted within month-end deadlines.
– Reconcile the number of booked deals and corresponding gross profit with sales managers.
– Maintain and reconcile inventory schedules, finance receivable schedules, and aftermarket sales schedules
– Monitor and manage floor plan accounts to ensure timely payments.
– Process dealer trade transactions, wholesale transactions, and journal entries.
– Post all newly acquired factory-ordered vehicle inventory.
– Balance and post warranty work orders.
– Assist with accounts receivable and accounts payable, including responding to customer inquiries.
– Answer incoming calls and assist customers with account-related inquiries.
– Provide in-person customer support for administrative and financial matters.
– Support vehicle inventory management, including stocking new and pre-owned vehicles.
– Close the daily till and process bank deposits as required.
– Scan and organize financial and administrative documents into the online filing system.
– Assist the sales team in retrieving previous deal paperwork and lien information.
– Provide general administrative support and assist with various tasks assigned by the Controller.
QUALIFICATIONS
– University degree or college diploma in accounting, finance, business administration, or equivalent dealership acquired experience
– Experience working with the PBS Dealership Management System is an asset.
– Strong attention to detail with excellent organizational and time management skills.
– Knowledge of dealership accounting procedures, financial reconciliation, and reporting.
– Proficiency in Microsoft Excel, Outlook, and Word.
– Ability to learn and adapt to new technologies and processes.
– Excellent verbal and written communication skills.
– Ability to manage multiple tasks efficiently in a deadline-driven environment.

Wage: $18-23/hr depending upon experience, benefits and group pension plan after 3 months
